Let's get your new VETtrak Online Project started!
Once you have decided on your new VETtrak Online product, it is important to get it underway as soon as possible. This page is designed to help you do that.
The Foundations | Now You See It | The Tidy Up
We have had projects take as little as a week and as long as nine months, the difference between the two is the process below. Your VETtrak Online development is a partnership between your RTO, JWGecko and OzSoft. It will also probably include your bank, your IT or technical contractor, your web designer or existing web developer; it will include your VETtrak administrator.

- Order your VETtrak Online website from JWGecko via email: Once you do we will raise an invoice for the project. The amount of the invoice will depend on which product you order and the amount of customisation required. Payment of this invoice is required before we start the project and will also signal acceptance of the JWGecko terms of trade. These are available here.
- Order your VETtrak API from OzSoft: Before we can do anything we need to know your API[s] have been ordered. There is a form to enquire about them here or you can call or email Mike or Gordon at OzSoft [03 6333 0166]
- Static IP Address: A Static IP address is like a telephone number on the Internet so the JWGecko server can find your VETtrak API on the Internet. You may already have a Static IP Address, if you do not then order one through your Internet Service Provider. Most ISPs provide them at no charge however Telstra charges around $12 / month. We are not able to install your API or test it until you have a Static IP. These can take one to two weeks to activate.
- API Installation: OzSoft will deliver the API software very quickly and once you receive it the API needs to be installed. JWGecko has an API support service and for some packages this service is included. A suitably qualified person using the instructions provided by OzSoft can complete the task successfully. In our experience it is best to use our service provider for two reasons; he is fast and relatively inexpensive and because as new versions of the API become available we are able to support your RTO through the changes more efficiently if we are responsible for the maintenance.

If your technical person does the install we have provided a Verify API connection tool here. If the verification is unsuccessful then there is a problem with the install. In this case refer to the installation guide or call the software provider. JWGecko is not able to assist with the API unless we are commissioned to complete the install or support it.
* Your API will come with a key that will expire if the OzSoft invoice is not paid within their invoicing cycle - the API will simply not work if this is the case.
- Understanding the Integration Point: Where your main website, if you have one, and the VO website touch is largely determined by the product you have purchased. This also determines what information from within VETtrak is published to the VO website. Please review this page on where the product you have purchased integrates with your main website and therefore the information form within VETtrak to be published - VETtrak Integration Points.
- Publish VETtrak Data to the Web: The API will publish information to the web only when a tick box is selected in whatever section of VETtrak is being used. This applies to the Enrolment, Portal and Integrate APIs. If you don't know how to publish to the Web then ask your VETtrak support person at OzSoft to help. It is essential to have your VETtrak data published to the Internet before we install the API. This is useful to build confidence that the process is working and as an excellent test to ensure the website API connection is functioning.
- Select Web Page Template: Where the VETtrak Online website is only part of your web presence it is important that the two web page templates look the same. The easiest way to do this is for us to copy the template for the new mini site or portal from a specific page on your existing website. Communicate which page you would like JWGecko to use as the base template.

- Navigation strategy: The selection of the template above should ensure the new VO website looks exactly the same as your main website. The same applies to the navigation mechanisms. One of the keys to success is the flow to and from each site and this is achieved by the shared navigation items. Please review this page on Navigation Integration. JWGecko will assist in working through the options.
- Online Credit Card Merchant Account: Where your RTO will be selling courses or other services online you will need a credit card merchant account that is enabled for online transactions. You will need to contact your bank to organise this. We have prepared a list of the questions you are likely to be asked and the answers we recommend. This can be found here.
- Hosted Payment Solution: The simplest, easiest, cheapest and secure way to take credit cards online is by using a hosted payment page solution from a reputable supplier, there are many. JWGecko recommends and uses Camtech and their SecurePay solution. Currently this costs $395 per year with a small transaction fee. Camtech is the default provider and integration to it is included in the published costs of all our products. Other platforms are able to be integrated at extra cost. Often these extra costs are quite minimal, however it does add to the implementation time and cost. To join Camtech follow this link.
- Finalise your Enrolment Form: Where your solution is driven by online enrolments we provide two standard enrolment forms for you to choose from and customise. - View you new VETtrak Online website: Many of the steps above may be completed concurrently and can take as little as week. Once Items 4, 5 and 6 have been completed and your initial invoice has been paid we will build your new VETtrak Online website. Because the API is installed and the course information published it will look great almost immediately!
- Test test and tidy up: Now you have your mini-website online it is time to review the designs, data structure and presentation. We do this with you and make suggestions on how to improve your data along the way.
- Test Credit Card: Testing needs to include the credit card payment mechanism. The payment gateways provide a test account so you won't need to use your credit card to spend money to make sure it is all working. Here is the information to use for most payment gateways:
- Credit Card Number: 4444333322221111
- Credit Card Type: VISA
- CVV Code: 123
- Expiry Date: Any date in the future
- Emails for customers and audit: The application sends an email to your new customers to confirm their interaction with the website; login and passwords, course bookings and the like. You will receive these emails in the course of testing your new website. We will need to know the email address you want the email address to be sent from and address where the audit copies to be sent to after the enrolment is completed. The content on the email will need some customisation to suit your requirements.

- Going Live: There are two parts to the go live process. Once everything is signed off and you are happy for the website to go live we need to do two things [at least].
- Confirm the Bank's approval of the site - sometimes takes 5 working days
- Set up a domain or sub domain - some sites use a sub domain of the main website domain e.g. http://booktraining.your-domain-name.com.au

Please set up a sub domain on our current "your-domain-name.com.au". We would like to have http://booktraining.your-domain-name.com.au point to the IP number 175.107.134.73
This may not appear initially, however if you notify us when it is set up we can arrange for it to work.
- Link Changes on Main Website: Once the sub domain website is completed then it is time to add the links to your main website that refer users to it. JWGecko will explain how this can be done and where your pages should link to. We can do the whole job for you however this is usually an extra charge for this service.
- Celebrate: Not only do you have a new online website that will likely increase sales, used correctly it will also reduce your administration costs. There are always other ways to improve things too, so be sure to book some time with JWGecko to talk about your options.
