VETtrak ProCMS [VOP] combines our premium level enrolment product [VOA] with our premium VETtrak Portals product. VOP is for Enterprise RTOs or those wishing to be one and are keen to reduce administration, improve customer service for students/clients through interaction with their data. This product is intuitive, powerful and extremely flexible. It is provided as a complete company website or as a learning site to augment the main corporate website. As standard VOP is hosted and maintained on our shared server environment, licensing options allow the application to be installed on a managed server in our environment or within your own network or data centre.
There are three key aspects of the VOP product:
- Enrolment
- Portals
- Content Management System [including student, staff, trainer and employer extranets]
There are three important add-ons to understand when considering this product.

Like the VO Corporate product, VO Pro really is a complete online sales and student management application for RTOs. VO Pro has many more options and features than is usefully displayed here and much more than is immediately obvious when reviewing the product online.
Content Management System
The VET Online series of products is developed as a module to the JWGecko web content management system called CherryCMS, which has been developed over the course of the last decade. It is currently in version 11 and has new releases and enhancements monthly. It is utilised by more than 300 websites. CherryCMS is designed by non technical people and the total cost of ownership has been proven to be less than its open source competitors.
The CherryCMS feature list is well over 100 and requires an online demonstration to do it justice. The complete suite of products and the Training website itself is built using the Cherry CMS application and API.
A short summary of what you can expect is below:
Administration of the Site
The action of adding items objects or pages occurs through the web browser once a user has logged in using an accredited user name and password. The login process is performed at either the CherryCMS.n4b.com website or on the user’s website. Where the user logs in on their own website they view their site in the same way any user of the Internet would, except that as a logged in user they will see two administration buttons, an 'e' and an 'a'. When the 'e' is clicked the page editor is opened and the page's content is able to be edited and saved. When the 'a' is clicked the classic Windows Explorer view of the site map opens. In this area page properties and status may be modified by clicking on links or by right clicking on the item to be changed. The "in context" admin is also accessible from this interface by clicking the 'Preview Mode' button.
Security
Access to the administration area for a CherryCMS website is controlled through a logon and password screen either on the user’s site or from the CherryCMS.n4b.com website. The profiling process that occurs online, prior to users being accredited to edit or administer any website, allows the users to select a logon [must be unique] and a password combination of their choice. The functionality is provided to modify these when required.
The security built into the application is configurable to support the following;
- No logon and password repetition
- Enforced minimum length of logon
- Enforced minimum length of password
- Enforced password complexity [mixed case and alpha numeric]
- Login lock out - 3 strikes and you’re out policy, users locked out for x minutes and master admin is alerted
Page Templates
A CherryCMS site typically includes a template designed either through JWGecko or your own designer. CherryCMS utilises a template as a container for data from the content database. This template defines the style and layout of the website. It includes a detailed list of styles to be used in page presentation. In this way development and maintenance may be delegated to editors while design integrity is maintained. The process makes site implementation and site redesign fast and inexpensive while in no way compromising the design process.
Standard Modules
The VO Pro CMS product includes the following modules as standard;
Site Search - The site search function allows visitors to the site to enter key words into a search form. The module searches published and archived material on the site and produces a results page similar to those of most search engines.
Site Map - The site map module keeps a track of all the changes in the structure of the CherryCMS site and publishes the site structure for users under a menu item called 'site map'. Once turned on this module requires no updating and always shows the site visitor a representative view of the sites published structure.
Contact Us - The contact us module is a simple interface that allows the administrator to build a contact us page that includes a form where relevant information about the users enquiry may be entered and returned to the administrators or other allocated users email address. Multiple forms may be produced where there are multiple offices or locations.
User Management - The user management module allows the administrator to control access to the administration area of the website. The functionality allows for turning on and off users as well as allocating view and edit privileges within the site's administration hierarchy.
Editor - The core functionality for editing pages is provided by the page editor. This tool allows users to type or paste content in, upload and place images and objects, add tables, links and other formatting in a manner similar to that of MS Word. The extended functionality also allows editing in HTML, toggling table borders and editing 'invisible characters' - also similar to the way MS Word works.
Extranet - Home pages for Programmes so that students may access relevant material to their study, trainers may access the latest training documentation.
LDAP authentication is also available.
The ProCMS is ready plumbed to include the fully integrated VET LMS which is a SCORM complaint LMS already integrated into the VETtrak product using the Integrate API.
Basic Portals Functionality
JWGecko has two types of Portal functionality - VOC has the basic set and the RTO Pro product has a much larger feature set. The basic Portal output allows Students, Staff and Employers to Log on and view a selection of data from VETtrak.

Students, Employers and staff are able to view and edit selected personal information and manage their own passwords. Staff are able to see all details and Employers are able to view their employees details.
Enrolments Functionality
What JWGecko has learned about online consumers is that the more way a web publisher provides for a customer to buy, the more they buy. The ergonomics of the site allow for different ways of using it. This product provides at least three ways to book a training course online.
- Programme Type and Programme Home pages: The website is structured on four levels;
- Programme Type Homes pages: HTML, Links, Images, Documents, PowerPoint, Video
- Programme Home pages: HTML, Links, Images, Documents, PowerPoint, Video
- Programme/Occurrences pages: Output from VETtrak
- Enrolment forms: Choice of AVETMISS, Simple and customised forms.
The Course Finder: Select the course of interest from a drop down of programme types reveals another drop down of programmes and then occurrences. This feature allows the user to reach the enrolment form for the training course they are interested in from the home page.
The Training Pod: The training pod presents the opportunity for more information of about a programme or book on a specific Occurrence from the side of each page of the website. On the training home page a general chronological list of upocoming courses is provided. As a visitor navigates to deeper levels of the site the enrolment options change to be of the same programme type or programme of the page providing options for the visitor matching the content they have already selected. This matching improves sales conversions on the site.
Enrolment Navigation: The top level is general information about a programme type. This information can be extracted directly for VETtrak as text or published in rich HTML through the VOA module. The level below the Programme type is the Programme and the description of this too may be taken from VETtrak either as text or rich content added to the module.
The Programme Occurrence page carries a brief description of the programme drawn from VETtrak along with an interactive calendar of upcoming occurrences. Where there is less than five Occurrences the presentation changes from the calendar view to a list of Occurrences with a month selector.
Navigation from the Programme page to the Programme/Occurrence page is by a "timetable" link. Many RTOs merge the Programme and Programme Occurrence pages to reduce the number of clicks to enrolment. The option is available at commencement only.
When the client puts their mouse over the occurrence date on the calendar, the location and cost are displayed. Clicking on the the shopping basket icon on the calendar or the course selection option on the list takes the client to the enrolment page with the details of the course already displayed.
Either the AVETMISS or Simple form may be selected in the admin on a programme by programme basis making it easy to publish both accredited and non-accredited courses. The prospective student completes the enrolment form and either pays, requests an invoice for themselves or an invoice to their Employer [Employer Enrolment].
Implementation of the JWGecko credit card payment mechanism is included in the cost of this product. Integration of other suppliers is available at an additional cost.
Price Types: This product allow for the use of multiple price types. To access this feature a custom enrolment form is required. By providing JWGecko with a copy of your current enrolment forms we are generally able to provide an estimate for the provision of price types. JWGecko is very experienced in this area - some price type implementations take as little as an hour other more complex ones may take significantly longer. All price type activity is priced on an hourly rate.
Occurrence offset: Some training courses require study or other activity prior to the Occurrence date and so it should not be possible to enrol on an Occurrence tomorrow for instance. The VO Pro product allows the RTO to set an off set for publishing Occurrence. This means that only Occurrences where the student has time to do the prerequisite tasks are displayed - this is set in days prior to the Occurrence e.g. an Offset of 10 means that only Occurrences that are more than 10 days away will be promoted on the site.
LMS Enrolments: Do you use an LMS that is not integrated with VETtrak or VET Online? We cater for you too in our product set. LMS Occurrences are ongoing so there is no calendar and student are able to enrol whenever they like. VO Pro allows this with the click of a button in the admin area.
